Signing and refusal to sign electronic documents
Signing documents is available only to those employees who have the right to do so, and an electronic signature certificate has been received. If the signing of documents is not available, to empower the right to sign documents, contact an employee with administrative rights .
Document signing is possible for documents located in the Required processing, Inbox, Outbox, Internal folders (with the status Signed required).
If in the list of documents to the left of the document name appears:
- this means that this document is being processed by another user (the document is open for them or is checked). When you hover the mouse cursor over the icon, a hint appears with the name of the user who works with the document.
and cross out the document - this means that the document has just been deleted by another user. When you hover the mouse cursor over the icon, a hint appears with the name of the user who deleted the document. You can open such a document by clicking on its name.
It is possible to sign (refuse to sign) as one document, or several documents at once:
For signing (denial of signature):
In the case of opening the window Electronic document management , click on the Fill Application button, fill it in and send .
Sign and complete the workflow (to sign the document);
When a request to sign an outgoing document after it is signed, the document will be sent to the counterparty or to the divisions.
Refuse / Refuse the signature request to the employee (to refuse and send the document to the employee who sent the signature) or Refuse / Refuse the signature of the document to the counterparty (to send the refusal to the counterpart of the document (documents).
In the window that opens, confirm the signing or denial of the signature indicating the reason for the refusal.
If the user has several e-signature certificates and none is selected to sign documents, select the one you need using the link to select.
In the certificate selection window, the Remember my choice in current organization checkbox is selected . This means that documents will be signed by the selected certificate by default. If necessary, the box may be removed.
You can change the certificate to another one with the help of a link to choose another one when signing documents or in personal settings.
- If a cloud-based electronic signature is used, in the document signing confirmation window specify the code from the SMS.
After signing, the status of the document will change to Signed .
If the document was rejected, the status will change to Signature refused . In the document viewing window, the message Signed denied appears for what reason and who refused .
